Job Title: Executive Assistant

The Client offers a competitive salary aligned with the candidate's relevant and direct experience. Emphasis will be placed on demonstrated expertise rather than formal qualifications. They seek an Executive Assistant who can work efficiently and proactively with the Principal Owner of the Family Office, while fostering collaboration with key executives and family members.

Candidates will be expected to travel 4-5 months a year.

Duties:

  • Calendar and Travel Management: Coordinate complex calendars, appointments, and travel itineraries for business, personal, and family commitments.
  • Stakeholder Liaison: Liaise with internal family office personnel and external stakeholders, including lawyers, the CFO, and other key professionals.
  • Information Management: Handle highly sensitive and confidential information with the utmost discretion.
  • Project Support: Provide comprehensive administrative support for various projects, such as real estate ventures, hospitality initiatives, and other business interests.
  • Personal and Family Assistance: Assist with personal and family-related tasks, ensuring seamless support across all aspects of daily life.
  • Task Management: Proactively manage tasks, anticipate needs, and address potential issues without prompting to maintain efficiency.
  • Operational Support: Deliver end-to-end assistance across business ventures and private matters, ensuring smooth operations for the family and their enterprises.
  • Finance Assistance: Confidently handle basic finance-related tasks, such as expense tracking and simple financial coordination.

Experience:

  • Minimum of 10 years of relevant experience in a comparable role, preferably within a Family Office environment, with substantial exposure to Private Equity and Real Estate.
  • Demonstrated expertise in supporting Ultra High Net Worth individuals or Corporate Executives, providing 24/7 responsiveness across business, private, and family matters.

Qualifications:

  • MBA or Bachelor Degree
  • Fluency in Italian and English; intermediate French. Basic Portuguese will be a plus.
  • Proficient user of Microsoft tools, in particular Excel and Presentation Apps.
  • Preferably, eligibility to work in EU.
